Import Executive

About the role

The Import Executive will be a key player in coordinating international trade operations. This role serves as a vital link between internal teams and external stakeholders, including international suppliers, transporters, and clearing agents. The primary objective is to ensure the smooth, timely, and compliant movement of imported goods.

Key Responsibilities
  • Import Management: Coordinate and manage all end-to-end import-related activities, from shipment initiation (PO release) to final delivery at the warehouse.
  • Stakeholder Liaison: Act as the main point of contact, liaising effectively with overseas suppliers, transporters, CHA (Custom House Agents), and internal teams to ensure timely material clearance and delivery.
  • Documentation: Verify, process, and accurately maintain all necessary import documentation, including Invoices, Packing Lists, and Shipping Bills.
  • Tracking & Reporting: Proactively track shipment statuses and provide timely updates to internal teams regarding timelines, costs, and any potential delays.
  • Financial Coordination: Coordinate with the Finance team for timely processing of duty payments, vendor payments, and reconciliation of all import-related expenses.
  • Compliance & Audit: Ensure strict adherence to all import regulations, customs documentation standards, and company policies. Maintain accurate records for potential audits or compliance reviews.
Requirements
  • Experience: Minimum of 5 years of relevant experience in import/export coordination, logistics, or international trade.
  • System Knowledge: Basic working knowledge of Tally ERP for data entry and seamless coordination with the accounts team.
  • Communication: Strong communication and interpersonal skills to engage effectively with both domestic and international partners.
  • Technical Proficiency: Proficiency in MS Office, specifically Excel and Outlook.
  • Industry Knowledge: Solid understanding of import procedures, customs clearance, and associated documentation requirements.
  • Organizational Skills: Excellent organizational abilities and time management skills.
Preferred Qualifications
  • Experience in handling food, agro, or FMCG imports.
  • A proactive, problem-solving approach with strong multitasking capabilities.
