We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to senior executives. The ideal candidate will act as the primary point of contact among executives, employees, clients, and external partners, ensuring smooth communication and efficient workflow within the organization.
Key Responsibilities:
- Serve as the point of contact between executives, employees, clients, and external partners.
- Manage the flow of information in a timely and accurate manner.
- Maintain and organize executives’ calendars, schedule appointments, and coordinate meetings.
- Make travel and accommodation arrangements as required.
- Track daily expenses and prepare weekly, monthly, and quarterly reports.
- Supervise and oversee the performance of clerical and administrative staff.
- Manage office operations, including maintaining office supplies and inventory.
- Prepare and format information for internal and external communications, such as memos, emails, presentations, and reports.
- Take detailed minutes during meetings and ensure timely distribution.
- Screen and direct phone calls and handle correspondence efficiently.
- Organize and maintain a comprehensive office filing and record management system.
Requirements and Skills:
- Proven experience as an Executive Assistant, Personal Assistant, or in a similar administrative role.
- Excellent knowledge of MS Office (Word, Excel, PowerPoint, Outlook).
- Exceptional organizational and time management skills.
- Strong communication skills — both verbal and written.
- High level of discretion, integrity, and confidentiality.
- Familiarity with office gadgets, tools, and applications (e.g., e-calendars, printers, copy machines).
- Bachelor’s degree in any discipline (Graduation required).
- A PA diploma or certification will be considered an advantage.
